Description:Primary Duty

Receives visitors, applicants and employees; answers incoming calls; works to ensure administrative duties throughout the office are taken care of and moving smoothly.

Essential Duties and Responsibilities

• Answer/screen calls from main office number
• Package and send mail/FedEx, USPS, etc.
• Sort and distribute mail
• Order and upkeep of office supplies
• Run some errands including buying supplies for break rooms, etc.
• Arrange travel for site when applicable
• Complete expense reports/basic administrative responses
• Order lunch for meetings
• Order flowers, baskets, etc. for get well, funerals, weddings, babies, etc.
• Order company business cards
• Assist in planning office parties/birthdays
• Assist applicants in application center
• Work with building maintenance when needed
• Keep bulletin board updated
• Tidy kitchen/break rooms as needed
• Assist with general HR duties

Other Duties and Responsibilities

• Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.
• Participate in proactive team efforts to achieve department and company goals.
• Perform other duties as assigned

Supervision

General supervision: Will perform routine duties with minimal supervision; standard practices or procedures allow employee to proceed alone at routine work; occasional check of work while in progress; work is reviewed upon completion.

Qualifications

Education and/or Experience
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical Skills
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume and distance.

Reasoning Ability
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Computer Skills
Basic personal computer skills including electronic mail, word processing, spreadsheet, graphics, etc.

Planning/Organization
Ability to handle multiple tasks simultaneously.

Physical Demands

Physical activity will be light and non-strenuous. While performing the duties of this position, the employee is regularly required to sit, to talk or hear and to use hands to finger, handle or feel. The employee is occasionally required to stand, walk, reach with hands and arms, and to stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds and rarely lift and/or move up to 50 pounds. Vision requirements include close vision, color vision and the ability to adjust focus.

Work Environment

The work environment is usually a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Noise is moderate and typical of a business office.

Travel

Minimal overnight travel (up to 10%) by land and/or air.

Contacts

Management and supervisors of operating site, employees, workforce management, training, applicants, outside agencies, vendors/suppliers, postal/shipping services.

Work Schedule/Hours

Normal hours are Monday through Friday with additional days and extended hours as necessary to fulfill responsibilities.
